Maintenance Administration To co-ordinate maintenance administration by: · Receiving customer repair requests and complaints, ensuring that they are dealt with promptly and efficiently. · Organising and co-ordinating repairs inspections for the Property Services team · Raising detailed works orders for repairs and maintenance work. · Ensuring that all appropriate information and details are correctly entered onto the computer. · Monitoring of works ordered and progressing outstanding work. · Checking the validity and calculations of contractors*suppliers invoices, completing relevant finance computer slips before submission to the Property Services team for authorisation. · Assessing customer satisfaction and producing appropriate reports. · Co-ordinating the administration of all programmed maintenance, including gas servicing, cyclical painting and planned maintenance. · Co-ordinate and manage disrepair claims and complaints. · The overall quality control of administrative staff within Property Services. To report and correspond on an accurate and timely basis by: · Setting up and co-ordinating a correspondence system and ensuring that all correspondence is replied to within approved timescales. · Preparing monthly managerial and financial reports on Property Services activities. Management · To line manage Property Services Administrators and ensure the provision of the highest quality service to our customers. · To set clear and achievable targets for each member of staff managed, monitor performance, and address under-performance when necessary. · To plan future staffing and resource requirements in conjunction with the Maintenance Manager, and co-ordinate the implementing of proposals. · To ensure that staff resources are effectively deployed, that the distribution of responsibilities is rational and clear, and that staff are clear as to their areas of delegated responsibilities. Other · Service contracts and review contractor performance. · To provide timely and accurate statistical and performance information. · Liaise with contractors, consultants*solicitors and insurers. . · To ensure the direct reporting of new build defects, via Property Services Administrators, is carried out effectively. To undertake such other related duties as may be reasonably required having regard to the nature of the post
